OperationsDistribution and Dealers

Run your channel: distributors, retailers, beats, schemes, field reps and claims, with a partner portal.

Distribution and Dealers is distributor management and field sales for FMCG and consumer-durables makers. It keeps your channel partners and the retailers they serve on territories and beats, prices orders with channel price lists and a schemes engine, turns distributor orders into Books invoices shipped from your warehouse, gives field reps an offline mobile day, and settles claims as Books credit notes.

Key capabilities

  • Distributors, retailers, territories and beats
  • Schemes engine with a simulator and budgets
  • Primary orders with Books credit checks
  • Distributor stock and secondary billing
  • Offline field rep app with GPS check-in
  • Claims settled as Books credit notes
What it does

Distribution in detail

Channel master

Keep the whole channel in one place, from CFA to retailer.

  • CFAs, super stockists, distributors and dealers with GSTIN, PAN, KYC, margins and serving warehouse
  • Retailers with channel, class, geo-tag, beat, credit days and onboarding photo
  • Duplicate warnings on same phone, GSTIN or a nearby name match
  • Zone, region, area and territory tree that also limits what managers and reps see
  • Beats with visit days and an outlet sequence that can be optimised

Price lists and schemes

Price every order the same way on the web, in the portal and on the phone.

  • Primary (price to distributor) and secondary (price to retailer) lists by partner, territory, channel or class
  • Slab, buy X get Y, value, volume, combo, target (QPS) and display schemes
  • Stacking rules: exclusive schemes, stack groups and best of group
  • Budgets with alerts and automatic stop or cap
  • Simulator for a cart, a replay of a draft scheme on past orders, and ROI after it ends

Primary and secondary sales

Follow stock from your warehouse to the distributor, and from the distributor to the retailer.

  • Distributor orders from the portal, a rep, an admin or a suggested replenishment
  • Credit limit and overdue checks from Books, with approval when exceeded
  • Books sales order, warehouse pick-pack-ship and invoice on dispatch
  • Distributor goods receipt into their stock, with shortages raised as claims
  • Secondary orders billed by the distributor, load sheets by beat, and retailer returns
  • Distributor stock ledger by batch and expiry, or closing-stock submissions

Field sales

Give reps a planned day that works offline, and managers a live view of it.

  • Monthly journey plans approved by the area manager, with leave from People
  • Day start and end as People attendance, with GPS only after the rep opts in
  • Outlet check-in with geofence, orders with schemes applied, must-sell prompts and suggested orders
  • Stock audits, merchandising photos, collections and no-order reasons
  • Onboard new outlets with a photo for manager approval
  • Manager live view on a map, targets and a rep leaderboard on the web

Claims and the partner portal

Validate claims against real sales and stock, and let partners serve themselves.

  • Scheme, target, display, damage, expiry, price-drop and transit claims
  • Validation against secondary sales, the scheme ledger and distributor stock
  • Approval by the area manager and admin, with finance above a limit
  • Settlement as GST or financial credit notes in Books
  • Portal for orders, invoices, payments, statements, schemes, claims, stock and secondary billing
Built for India

Indian rules, built in

Pricing, schemes and claims follow GST and Indian trade practice. Treatments are settings, so your CA can confirm them.

How Thoshika handles Indian compliance

  • Place of supply worked out for primary and secondary invoices
  • Free goods shown as lines at list price with a full discount
  • Post-supply discounts settled as GST credit notes or financial credit notes per scheme
  • Section 194R benefit ledger per dealer with threshold flags (no TDS filing here)
  • Configurable distributor and super stockist margins, and FY April to March reporting
